Indicia Testing Process
Royal Mail Access Indicia:
There are two specified sizes for the Royal Mail Access Indicia which you are able to download Click here, you can choose which of these indicias you wish to use on your Mailing Items:
- Large - The larger size is 30mm tall and 15mm wide.
- Small - The smaller size is 20mm tall and 10mm wide.
Customer Access Indicia:
The Customer Access Indicia must clearly identify the Contract holder via:
- The Contract holder’s, or their Carrier’s legal entity’s name.
- A registered design of the Contract holder or their Carrier.
- A trade mark design of the Contract holder or their Carrier.
Customer Access Indicia Size Guide:
- Large Indicia - The maximum area available is 30mm tall x 50mm wide.
- Small Indicia - The maximum area available is 20mm tall x 50mm wide.
There is no minimum size but your logo needs to be visible and any words used need to be in a font larger than 10 points.
Positioning Guide For Access Indicia:
A 5mm gap is required between the Customer Access Indicia and the Royal Mail Indicia as per the positioning guide attached below, this should be used to established the relationship between the envelope and the artwork. The Indicia will need to be printed exactly in accordance with the positioning guide below.

PPI Licence Number:
Your PPI Licence Number will be confirmed to you once you have signed and returned the terms and conditions which is available for download Click here. You must not use this number on your Mailing Items until your Access contract has been signed and an Access account has been set up.

Indicia Testing Stages
Indicia Testing Stage 1:
Once you have designed your Customer Access Indicia as per the Positioning Guide Click here and Chapter 3 of the Access User Guide. Please send a to-scale hard copy proof to the address below:

This hard copy proof check ensures that you do not print out test cards that we know will be rejected by Royal Mail sorting machines.
PLEASE NOTE: Royal Mail can not approve the designs via a PDF file format as the dimensions may not be accurately replicated.
Indicia Testing Stage 2:
Once the proofs have been approved by Royal Mail, you will need to create a minimum of 100 test cards per design submitted and per format of mail. Royal Mail will confirm the dimensions for the test cards and the address for the testing as part of the approval process.
Indicia Testing Stage 3:
Once the test cards have been produced they will need to be sent to Royal Mail for operational testing. It should be noted that this process could take 3 to 4 weeks from when Royal Mail receives the test cards.
Access PPI Templates
Downloading a PPI Template:
To download a PPI Template you will need an Access PPI Licence Number and an Access PPI Key. If you do not already have these please contact Royal Mail Wholesale either Steve Garey on 07885 241234 or Charlotte Marshall on 07725 200286.
If you have registered with Royal Mail Wholesale before, then you will not be required to register again. However, please do let us know by email if your details have changed.
